Budgeting Vacant Faculty FTE

UC Davis Campus Directive 97-101: New Policy Concerning the Disposition of Vacant FTE provides for the disposition of vacated general campus faculty FTE due to tenure denial, resignation, retirement, or death, effective September 1, 1997. The following information applies to faculty positions vacated from July 1, 1999 through June 30, 2000.

The transactions mentioned below should be completed for the next (2000-01) fiscal year. All base budget transactions should be marked "Next Fiscal Year, 2000-01." As has been the campus' historic practice, the college/school/division will retain faculty provisions and funding during the current (1999-2000) year to meet temporary teaching or other needs. Please see Directive 99-142 for more information. For all of the following transactions, be sure to provide detailed information in the justification section of the budget document (e.g., action, employee name or provision number, title code, effective date, and description of how the amount was calculated).

 

FTE Returns to Dean

In cases where the FTE returns to the dean of the college/school/division (e.g., resignations and tenure denial at the college/school/division or dean level), it is the responsibility of the dean's office (and department, if the dean's office so designates) to eliminate the position, create a provision in the appropriate dean's account for the vacant FTE at the Assistant Professor, Step III level, and return the upgrading to the central campus account as follows:

Return the base FTE and salary at the Assistant Professor, Step III salary scale for the specific title code (e.g., $48,000 for 1.0 FTE in Title Code 1300 (Assistant Professor, Academic Year) to the dean's office account as follows:

  • Debit: Department Account/FAU (budget amount = base salary and FTE amount = 1.0)
  • Credit: Dean's office account (provided by the appropriate dean)

The base upgrading funding must also be returned to central campus as follows:

  • Debit: Department account/FAU (budget amount only, no FTE)
  • Credit: 3-8015091-SB00, please indicate one of the following project
  • codes: DTENURE or RESIGN

FTE Returns to Chancellor

In cases where the FTE returns to the Chancellor's Unallocated Pool of FTE for future allocation (e.g., retirements, deaths, and those tenure denials that fall under procedure (1C) of Directive 97-101, the dean's office (and department, if the dean's office so designates) shall initiate DaFIS base budget, staffing list, and PAF changes to permanently transfer:

The base FTE and salary at the Assistant Professor, Step III salary scale for the specific title code (e.g., $49,400 for 1.0 FTE in Title Code 1300 (Assistant Professor, Academic Year) to the central campus as follows:

  • Debit: Department Account/FAU (budget amount = base salary and FTE amount = 1.0)
  • Credit: 3-CHANFTE-SB01, please indicate one of the following project
  • codes: DTENURE, DEATH, or RETIRE

The base upgrading funding must also be returned to central campus as follows:

  • Debit: Department account/FAU (budget amount only, no FTE)
  • Credit: 3-8015091-SUB8, please indicate one of the following project
  • codes: DTENURE, DEATH, or RETIRE
